Data Protection Policy and Privacy Statement
Kenshin Do Ryu Nippon Budo Kyokai is registered with the Information Commissioners Office as a data controller.
Your information is collected only for assessment of suitability for membership and registration purposes, to record grades achieved and to provide the standard membership insurances while you are a member.
We will retain your information securely while you are a member and for a maximum period of three years after your membership ceases.
All data, including any sensitive personal data collected is obtained by consent from the data subject. We will not share your data for any marketing purposes.
Data subjects have the right to request deletion of data, although this will mean we are unable to issue licences or insurance which will restrict your ability to train with us.
If the data we hold is incorrect, you have the right to correct it and to request we cease processing your data until it is correct.
ETHICAL BEHAVIOUR POLICY AND STANDARDS
Kenshindoryu Nippon Budo Kyokai aims to encourage the highest professional and ethical standards and requires all association and affiliated instructors and their assistants to meet these standards and to maintain the good reputation of the association.
Instructors and their assistants are expected to behave with responsibility and integrity, taking into account their wider responsibilities to society as a whole, and act in a courteous, honest and fair manner towards anyone with whom they deal, having particular regard to the association’s equal opportunity policy.
All of the association’s instructors and assistants are expected to comply with the declaration included within the association licence and the Laws of any country in which they operate, and meet the requirements of the association and any relevant Governing Body.
The Code of Practice for Kenshindoryu Instructors
An Instructor must act with integrity.
An Instructor must act with due skill, care and diligence in carrying out his duties as an instructor.
An Instructor must observe proper standards of conduct in carrying out his duties as an instructor.
An Instructor must deal with the association and any relevant Governing Body in an open and cooperative way and must disclose appropriately any information of which the association would reasonably expect notice.
An Instructor must take reasonable steps to ensure that the club or training session for which he is responsible in his capacity as instructor is organised so that it can be controlled effectively.
An Instructor must exercise due skill, care and diligence in managing the club for which he is responsible in his capacity as instructor including holding a current Enhanced Disclosure and Barring Service certificate
An Instructor must take reasonable steps to ensure that the club for which he is responsible complies with the relevant requirements and standards of applicable laws and legal obligations.
Equal Opportunities Policy
Overview and Introduction
Kenshindoryu Nippon Budo Kyokai is committed to the promotion of equality of opportunity in training and in this Policy Statement affirms its commitment to equality of opportunities and to the development of instructors which are well trained in issues of equality. Kenshindoryu Nippon Budo Kyokai, intends that no instructor, student or prospective student will receive less favourable treatment because of gender, gender reassignment, marital or family status, age, disability, ethnic origin, creed, religion/belief, sexual orientation, or by any other condition or requirement which cannot be shown to be justifiable.
Kenshindoryu Nippon Budo Kyokai will maintain effective systems to monitor the operation of this Equal Opportunities Policy to identify the extent to which this Policy is achieving its objective.
Kenshindoryu Nippon Budo Kyokai will endeavour to take the necessary practical steps to remove from all its activities and its terms and conditions of service as licencing authority, any discrimination on the above grounds.
Kenshindoryu Nippon Budo Kyokai will endeavour to ensure that:
- All instructors will be encouraged to undertake specific training and obtain guidance where necessary to achieve the effective implementation of this Policy.
- All practices reflect the organisation's commitment to the development of equal opportunities.
- Wherever possible, premises which have made Reasonable Adjustments to support disabled colleagues and students will be utilised for clubs and lessons.
- All instructors have a shared responsibility to cooperate with measures introduced to ensure there is equality of opportunity.
All instructors and students have the right to invoke the association’s Grievance Procedure if they consider there has been unfair discrimination against them. Unlawful discrimination is regarded by Kenshindoryu Nippon Budo Kyokai as gross misconduct, and members are subject to the relevant provisions of the Disciplinary Policy and Procedure, and may have their licence to practice revoked.

Measures to prevent abuse
The aims of the Child Protection Policy are to;
promote good practice throughout the Association and it’s members;
protect and safeguard the safety and welfare of children training in clubs affiliated to the Kenshindoryu Nippon Budo Kyokai (‘the association’)

whose duties include;
- acting as the Child Protection Officer for the Association;
- providing training material and advice for the Association and its instructors;
- ensure that any affiliated Associations / Clubs appoint appropriate Child Protection Officers and;
- implement the various procedures contained within this document
- ensure instructors hold Enhanced Disclosure and Barring Service certificates and decide on the suitability of instructors based on these checks
- set up and hold a register of all instructors and assistant instructors including their qualifications.
- seek confirmation from each instructor / assistant instructor running or supervising junior clubs or sessions, that an Enhanced Disclosure and Barring Service certificate is in force and passed this to the Child Protection Co-ordinator for processing
- deal appropriately with the results of Disclosure ensuring confidentiality
- produce and distribute the policy and procedure for child protection throughout the Association and any affiliated Association or Club
- arrange or facilitate training provision for relevant Association / Club members
- deal with enquiries and concerns raised about any child protection issue within the Association
- liaise with relevant statutory / voluntary organisations such as the police, social services, NSPCC etc.
- deal with and keep records of allegations or disclosures of child abuse
- monitor and review the policy and procedure
